  • Using a prefix that is too long - keep the prefix short so the full tag ID (prefix + number) fits readably on a small label.

What is an asset tag?

An asset tag is a label attached to a physical item that contains a unique identifier - usually a number, barcode, or QR code. It links the physical item to a record in an asset register or management system. Asset tags are used for tracking, auditing, and insurance documentation.

Should I use a barcode or QR code for asset tags?

Both work well for asset tracking. Barcodes (Code 128) are scanned with a standard 1D barcode scanner and most point-of-sale or warehouse scanners. QR codes can encode more information (a URL, notes, or a full asset ID string) and can be scanned with any smartphone camera. For IT and office equipment, QR codes are increasingly preferred because staff can scan with their phones without a dedicated scanner.

What information should an asset register contain?

Each row should include: asset tag ID, asset description, make/model, serial number, purchase date, purchase cost, location, responsible department, condition, and next service or inspection date. The asset tag ID links the physical label to this record. Keeping the register in a spreadsheet or asset management software alongside the tags makes audits fast and reliable.

How often should I audit my asset register?

At minimum annually, and more frequently for high-value or portable items (laptops, cameras, tools). A physical audit compares the tags present against the register to find missing, damaged, or unregistered items. Many organisations tie audits to insurance renewals or financial year-end to ensure accurate asset valuations.

What label material works best for asset tags?

For office and indoor equipment: standard matte or gloss paper labels (e.g. Avery 5160 or equivalent). For tools, outdoor equipment, or workshop use: polyester or polypropylene labels are more durable and waterproof. For equipment that must be tamper-evident: use destructible vinyl labels that break if removed. Print on a laser printer for maximum durability with any label material.
