Room / AreaConditionNotes

A written inspection report protects both landlords and tenants by documenting the property condition at the start and end of a tenancy. Fill in the property details, add each room with a condition rating and notes, and print a professional report with spaces for signatures and photo references.

Example

Move-in inspection for a 2-bed flat

Property: 12 Maple Court, Flat 2. Landlord: Mr. Chen. Tenant: Ms. Rodriguez. Date: 1 June 2026. Inspection type: Move-In. Rooms: Kitchen (Good - minor scratch on worktop noted), Living Room (Good), Bedroom 1 (Good - small mark on wall near door), Bedroom 2 (Good), Bathroom (Fair - grout discoloured around bath). Both parties sign and retain a copy.

Common use cases

  • Landlords documenting property condition at the start of a tenancy to establish a baseline
  • Property managers conducting move-in and move-out inspections for multiple properties
  • Tenants creating their own inspection record to protect their deposit
  • Estate agents conducting handover inspections on behalf of landlords or management companies
  • Anyone involved in a rental relationship who needs a documented, signed condition record

Common mistakes

  • Not noting minor existing damage at move-in - small scratches and marks not documented at move-in can be wrongly attributed to the tenant at move-out.
  • Not getting both signatures at the time of inspection - an unsigned report has limited value in a deposit dispute.
  • Using vague condition notes - 'slight mark on wall' is better than 'minor damage'. Be specific about location and size.

Frequently asked questions

Is an inspection report legally required?

Requirements vary by country and jurisdiction. In many countries (UK, Australia, various US states), landlords are required to provide a condition report at the start of a tenancy. Even where not legally required, a signed inspection report is the best protection against deposit disputes. Consult your local tenancy authority for specific requirements.

Should the tenant get a copy of the inspection report?

Yes. Both landlord and tenant should retain a signed copy. In a deposit dispute, the inspection report from move-in is evidence of the property's condition before the tenancy, and the move-out report is evidence of the condition after.
