Gross pay figures are estimates based on the hours and rate you enter. This tool does not calculate taxes, deductions, or statutory contributions. Use payroll software or an accountant for official payroll calculations.

How to use this tool

  1. 1Enter the employee name, department, manager name, and company. These details save in your browser and reload next time.
  2. 2Set the week starting date. The day labels automatically show the correct dates for Monday through Sunday.
  3. 3For each day worked, enter the start time and end time in HH:MM format (e.g. 09:00 and 17:30). Enter break time in minutes (e.g. 30 for a 30-minute lunch break).
  4. 4The hours column calculates automatically after deducting breaks. The weekly total appears at the bottom.
  5. 5Optionally enter an hourly rate and regular hours threshold (default 40) to see regular pay, overtime pay, and gross pay.
  6. 6Click 'Print / Save PDF' to open the print dialog. The printed timesheet includes signature lines for employee and manager approval.

Example

Standard office week, 40 hours

Monday to Friday, 09:00-17:30 with 30 min break each day = 8 hours per day. Total: 40 hours. Hourly rate 25. Regular pay: 1,000. No overtime. Gross pay: 1,000. The timesheet prints with both employee and manager signature lines.

Retail worker with overtime

Monday-Friday 9:00-18:00 (30 min break) = 8.5 hours each = 42.5 hours. Saturday 10:00-15:00 (no break) = 5 hours. Total: 47.5 hours. Regular threshold 40 hours. Overtime: 7.5 hours at 1.5x rate of 14 = 14 (reg) + 157.50 (OT). Gross pay: 717.50.

Common mistakes

  • Using 12-hour time without AM/PM - the calculator uses 24-hour format (HH:MM). Enter 09:00, not 9:00 AM.
  • Forgetting to enter break time - unpaid breaks must be deducted from total hours. A 30-minute break on a 8.5-hour shift means 8 hours paid.
  • Using this as the only payroll record - this tool generates a working document; payroll should be processed through proper payroll software or an accountant.
  • Misunderstanding overtime rules - overtime thresholds and multipliers vary by country, state, and employment contract. Verify the rules that apply to your situation.

Frequently asked questions

Is the gross pay figure accurate?

It is an estimate based on the hours and hourly rate you enter. It does not account for income tax, national insurance or social security contributions, pension deductions, or other payroll deductions. Use it as a pre-tax gross figure. Your actual net pay will be lower depending on your tax situation.

What time format should I use?

Use 24-hour format: HH:MM. For example, 9 AM is 09:00, 1:30 PM is 13:30, and 5:45 PM is 17:45. The calculator does not support 12-hour AM/PM format.

Are my details stored on a server?

No. Everything runs in your browser. Employee name, department, and company are saved in your browser's local storage so they appear automatically next time. Nothing is sent to any server.

Can I customise the overtime threshold?

Yes. The 'Regular hours per week' field defaults to 40 but you can change it to match your employment contract or local rules. Hours above this threshold are calculated at the overtime multiplier rate.

Can I print a blank timesheet for employees to fill in by hand?

Yes. Leave the time and notes fields empty and click 'Print / Save PDF'. The printed sheet has blank columns that can be filled in by hand, and signature lines at the bottom.

How do I handle a night shift that crosses midnight?

The calculator does not currently support end times after midnight (e.g. 22:00 to 06:00). For night shifts, split the shift across two days or calculate the hours manually and enter the total as a note.
